Bookings: Bookings, except for late bookings, are confirmed on the condition that a non-refundable deposit, of a minimum of 50% of the total package price, is paid to African Sun Travel within 24 hours of confirmation of your bookings. You will be advised at the time of booking what payment is required for your particular chosen travel arrangements. *Please note that many service providers require 100% pre-payment within 24 hour of confirmation nowadays. The balance of the cost of your travel arrangements must be paid no less than six weeks prior to departure. If your booking is made within 6 weeks of departure, the total cost of your travel arrangements must be paid at the time of booking. Please note: FAILURE TO PAY ON TIME WILL RESULT IN THE AUTOMATIC CANCELLATION OF YOUR BOOKING.
Late Booking Fee & Communication Expenses: In the event of a booking (except South Africa bookings) being made less than 7 days prior to the date of departure, African Sun Travel reserves the right to charge for any extra communication expenses. Full payment is due immediately on confirmation and is non-refundable on all late bookings. Some bookings require full payment at the time of booking i.e. prior to confirmation. If we are unable to secure confirmation you will be refunded in full.
Air/Train tickets: The air/train fare and taxes quoted are current and are subject to change without prior warning should the airline or train travel provider impose an increase in rates for any reason. Should the fare quoted not be available at the time of booking, the next applicable fare will be booked and amended costs advised accordingly. Please note that fares may increase between time of booking, time of payment and the ticket being issued. African Sun Travel cannot be held responsible should airlines or railway operators discontinue flights or train journeys on certain routings or change scheduled timetables resulting in missed connections. Should an amendment in routing or itinerary be necessary, any additional costs incurred will not be borne by African Sun Travel. Airfares and train fares are subject to the prices and conditions quoted by the particular airlines and/or railways and cannot be guaranteed by African Sun Travel. The onus is on the agent and the passenger to check that there have been no changes in these prices before making final payment thereof.
Insurance: We consider adequate travel insurance to be essential. All premiums must be paid at the time of booking, as cover will not be effective until then. Please ask your travel agent for insurance options. African Sun Travel will not be liable if anyone should fail to take adequate insurance cover.
Published rates on our websites and in any other documentation from African Sun Travel is/are always subject to confirmation with the advertised establishment/service provider and availability, their seasonal and peak season rates and any other unforeseen influence out of the control of African Sun Travel.
Cancellation and change fees
Cancellation fees of 20% and (30% for groups 10+) are applicable for cancellations and/or changes made to train travel reservations up until one week (7 working days) before travel date. 100% cancellation fees may apply for cancellations within one week (7 working days) of travel date. Possible exceptions are subject to approval by management of the respective service provider. Credit card fees, admin fees and bank charges are not refundable.

Cheques: We do not accept cheque deposits, due to 7 working day clearance delays and reservation expiry timings.
Cash or EFT Transfers: We accept (EFT) bank transfers and cash deposited into our bank account, subject to condition that the EFT transmission report or the cash deposit slip is provided to ourselves and such payment has been confirmed as received by ourselves. All payments must be made in full and free of any bank charges.
Flight/Train Travel Reconfirmation: It is your responsibility to ensure that you reconfirm the departure date and times of all your flight arrangements and train journeys at least 72 hours prior to departure. This is particularly important in respect of subsequent train journeys in South Africa and flights leaving South Africa. African Sun Travel hereby specifically excludes any liability and cannot be held responsible for any direct, indirect, special, incidental or consequential damages that may arise for any delay and/or travel service provider failure i.e. accommodation needed, car hire, shuttle service and/or any other loss as a result of your failure to reconfirm flight, train journeys and/or connecting flight details.
Documents: (vouchers, itineraries, etc.) are only prepared on receipt of full payment of the package price, and signed conditions of contract (i.e. our booking form) and will be ready within 48 hours after payment has been received. Should you require your documents and air tickets to be forwarded to either yourself or the departure airport and or train station, this may be arranged. However, the courier costs in respect thereof will be for your own account.
